Privacy policy

1. Who we are

Haulix is operated by BlueRoute Technologies Inc. ("Haulix", "we", "us"). We build AI-powered dispatch automation for logistics companies and freight carriers. Questions? Email privacy@haulix.com

2. What we collect

You give us directly — your account information including name, email, company name, and password. Your billing information is processed by Stripe and we never store card numbers on our servers. Operational data including your drivers, loads, broker contacts, and dispatch records. Any communications you have with our support team or through in-app chat. If you apply for a role at Haulix, your resume, portfolio, and application responses.

3. How we use it

We use your data to run and improve the product — nothing else. Your account information lets us authenticate you and communicate about your account. Your operational data powers the dispatch board, load tracking, and broker workflows you see in the product. When Relay or Lens takes an action on your behalf — sending an email, making a call, verifying a document — it uses your operational data to do that job accurately. We use aggregated, anonymised usage patterns to improve how the platform performs over time. We use your billing information solely to process payments through Stripe. If you applied for a job, we use your application data only for that hiring process and delete it within 90 days if you're not hired.

4. AI agents and your data

When you use Relay or Lens, we use only anonymised and aggregated patterns to improve shared models — never your specific broker relationships, load rates, or company data. Call transcripts and email content are anonymised before they are used in any model training. Fleet and Command plan customers have full data isolation, meaning your data is never combined with other customers' data for training purposes. You can opt out of AI training at any time by going to Account Settings, then Privacy, then AI Training.

5. Who we share it with

We share your data only with service providers who are bound by data processing agreements — this includes AWS for hosting, Stripe for payments, Postmark for transactional email, PostHog for analytics which is EU-hosted, and Sentry for error tracking. We share data with brokers you directly instruct us to contact as part of the dispatch automation service.

6. Cookies

We use three types of cookies: strictly necessary (required for the platform to function), functional (remember your preferences), and analytics (PostHog, self-hosted in the EU — your data stays with us, not Google or Meta).

We do not use advertising cookies or cross-site tracking. Manage your preferences via "Cookie settings" in the footer.

7. How long we keep it

We keep your account information for as long as your account is active, plus 30 days after deletion to allow for recovery requests. Dispatch records and load history are retained for 3 years from creation. AI call transcripts and broker email content processed by Relay are automatically deleted after 12 months. Billing records are kept for 7 years as required by law — this is the only data we retain after your account is fully closed. If you apply for a job and are unsuccessful, your application data is deleted after 12 months, or immediately on request.

8. Security

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Access to production systems requires MFA. We conduct regular third-party security audits. We are SOC 2 Type II certified — Command plan customers can request the full audit report.

9. Changes

We'll email you and show an in-app notice for material changes. Minor clarifications are posted without notification.
